Meetings are vitally important on today’s rapidly changing environment. Meetings help professionals feel included, trusted, and that they are important team members, as well as giving them the opportunity to contribute to the success of an organization. There are three factors that makes meeting run effectively, namely.
Determine the importance of meeting. Does the work require the collaboration? Or could this meeting be completed with e-mail? if yes, you just have to use e-mail. Do team members have enough ability to complete the agenda that being discussed? if not, give them time to learn or find a solution first. Determine the following parameters!
• Meeting agenda - what to discuss: problems, decision models, and objectives.
• Meeting participants – manage effectively who you are inviting, don't invite too much.
• Meeting time – when is the right time to do meeting.
Make invitation and attach clear information. Giving information why the invited team must attend the meeting. Also give the team members information related to what the participants need to prepare.
Start on time. If the meeting is a follow up from the previous meeting, do quick review of the previous meeting results and what will be discussed in this meeting. The meeting must be recorded, and don’t forget to make a meeting conclusion.
All participants must follow the conclusion of the meeting and do what have been asked to.Final minutes of meeting documents must be sent to the participants of the meeting.
